How We Organize Groupings

We take pride in creating socially compatible groups based on your grade prior to the summer. We carefully balance gender ratios, geographic diversity, those coming independently or with a friend, and the mix of new versus returning participants. Rest assured that if your departure has a unique grade placement (such as being the only 11th grader in a 9th–10th grade group), we will contact you to ensure it’s a good fit or to discuss other age-compatible options.

For example, if a program is open to grades 7 through 12, students will not all travel together on the same departure; instead, they are organized into separate age-appropriate groups. Additionally, select programs offer exclusive departures specifically for middle schoolers or our ON TOUR departures for older teens completing 11th and 12th grade.

The Social Integration Plan (The First 48-72 Hours)

We lean into the first 48–72 hours to cultivate an environment where everyone feels included.

The 3 Phases of Connection

  • Phase 1 (The Start): Hands-on social support. Our staff are specially trained to lead engaging ice-breakers and interactive activities. From seamless seating arrangements to warm introductions, we turn “first day jitters” into genuine connections, leaving you free to focus on the experience.
  • Phase 2 (The Middle): We keep the momentum going with curated group rotations, shared activities and laughs, and intentional check-ins to keep the energy high.
  • Phase 3 (The Grand Finale): Closing activities designed to cement lifelong friendships before the final goodbye.

The Rooming Rotation*

  • 1st Stop: Independent travelers are matched with a peer of the same age; friends traveling together room together.
  • 2nd Stop: To help you make a new best friend, we switch things up and you room with someone new.
  • 3rd Stop+: From here on out, you choose! By now, you’ll have plenty of new friends to pick from.

Safety & Logistics

Our travelers’ security is our number one priority and we strive to create the safest programs possible. There are various aspects to safety from planning and itinerary development, staffing and training, risk management and social and emotional safety.   1. Airport Departures: At major hubs like JFK, Newark, MIA, LGA and LAX, look for our staff in purple WCC t-shirts. We don’t just meet you at the gate; we help you check in at the counter and introduce you to your first few friends before the plane even takes off.
  2. Unaccompanied Minors: We have protocols and systems in place to assist younger travelers with airline Unaccompanied Minor services.
  3. Staff Leadership: Our staff are not just supervisors; they are mentors trained in safety and social facilitation.

 

What Happens After You Enroll?

  • The Portal: Within 48 hours of enrollment, you’ll receive an email to activate your online portal.
  • Travel Insurance: In February or following enrollment, we will contact you outlining optional travel insurance for your teen’s program.
  • Payment Schedule: A deposit is due with your application, a second installment is due on February 1st and the remaining balance is due on April 1st. See payment, cancellation and refund details.
  • Spring Updates: In the Spring, we will contact you to book flights and your portal populates with the packing list, medical and activity forms.

Participants may bring their cell phones so parents may call and message their kids directly. You may also contact our Communication Centers which serve as the official link between programs on the road and parents. We are staffed every day during the summer and have somebody on call for after hours emergencies ready to assist you 24/7.

Do you accommodate dietary restrictions?

Yes! We gladly accommodate most special dietary requests including vegetarian, food allergies, lactose intolerance, celiac/gluten-free and kosher style. We’re happy to discuss your individual requirements with you.
