Our mission is to create life-changing experiences that teens remember as the best of their lives. To do so, and to provide relevant program information in a convenient way to those inquiring, we need to collect information about you. We take responsibility for your data as seriously as we take responsibility for your safety in the summer. This notice explains how we collect, use and protect Personal Information that you provide to us and your rights relating to that information.
By using or accessing westcoastconnection.com (our Site) or any of our websites you acknowledge that you have read, understood, and agree to this privacy policy. You acknowledge that you are 16 years of age or older, or possess legal parental or guardian consent. If you do not agree with this policy, please do not provide us with your PI. Your sole and exclusive remedy is to discontinue use of the website.
Westcoast Connection Travel Camp, Inc. (WCC) is committed to keeping and respecting your right to privacy.
Personal Information (PI) consists of both Personal Identifiable Information (PII) and Sensitive Information (SI).
PII is personal data that can be used on its own or in combination with other information, to identify, contact or locate a single person. Examples include your name, address & phone numbers. It does not include anonymized or statistical data that by itself does not allow identification of you as an individual.
SI may include information about your health and medical history.
To assist you, we usually need to ask you for some PI, such as your name, contact details, and other information related to the student-participant and this will be stored in our secure database which uses standard encryption technology. Such PI is required to respond to your inquiry and to keep a record of our interaction. Other information may be related to a child’s current school and past programs attended. This is helpful as we work to create the best possible summer experience for you.
Our online forms allow our website visitors to seek more information about our programs and/or to subscribe to our email list; as well as to apply for a staff position. Examples of forms include: Contact Us, Schedule a Call, and Request a Brochure. We ask for basic information to fulfill your request, to recommend appropriate programs, or to highlight any WCC alumni in your area that might be a good source of information for you. Any PI that you share with us via a form on our website is securely encrypted via secure server software (“SSL”).
For our Email Itinerary Form, there is an option to email information to a friend. For those requests, we only email the friend the requested information and give them the option to subscribe to subsequent marketing emails and agree to this privacy policy.
We try to not send marketing emails more than once per week unless there is a timely message that we share with you (example: special offer announcements). Emails that may be personally sent to you from a member of our enrollment team that responds directly to your question or request are not considered to be a marketing email. Emails to confirm your enrollment or follow up with forms that you need to complete in order to participate are considered to be transactional emails rather than marketing emails.
When you enroll online for one of our programs and your PI is shared via our website, SSL is also applied to encrypt all of the PI you input before it is sent to us. Although we do business internationally our internal data storage systems are currently based in North America. As a result, your PI will be processed in North America where data protection and privacy regulations may differ from other parts of the world, such as the European Union. If you share any PI with us, you agree to this Privacy Policy and consent to the transfer of your PI to the United States and/ or Canada.
By filling out forms and agreeing to our privacy policy, you give us permission to share your PI as follows:
We carefully select our partners and third-party service providers to use the same data protection and privacy standards we meet ourselves.
If you are browsing our Site, you are anonymous to us, but we will still collect User Data, like browser type, device, and IP address, during your session through standard web analytics services to monitor site usage tracking and to improve the quality of the experience and services we present to you. This information does not personally identify you. Once this data is collected, it is stored in our web analytics services for a maximum renewable period of 26 months or until it is deemed necessary to delete. You can control the use of online cookie tracking through your browser settings. However, if you choose to disable cookies, it may limit your use of certain features or functions on our website or service that were put in place to help serve you better.
Some of our trusted online partners (e.g. Facebook ads or Google ads) may use cookies and /or pixel tags on the WCC website to help enhance your overall experience. On rare occasions, we may indirectly receive personal information about a person (usually a combination of first name, last name, email or phone number). This may be from your friend or contact who asks us to send you information; or from partnerships with Summer Program Expos, advisors and/or schools. In these instances, we also seek to get your consent to hold your information in the first instance that we communicate with you.
This Site contains links to other websites, such as community service program partners, lodging, or to our social media profiles for example. These are shared only for your convenience and not as an indication of WCC’s approval of these websites. They may have their own privacy and website policies, which we do not control, and therefore are not covered by WCC.
WCC sometimes runs promotions or contests on third party social media platforms (such as Facebook, Instagram or YouTube). Any information you decide to post to our public profiles on these platforms is subject to the privacy policy of those third-party platforms and is independent of the privacy policy of WCC.
For marketing emails, you may unsubscribe at any time and you may contact us if you have any questions about your email subscriptions.
You can ask to review, revise or delete the PI we hold about you at any time by contacting our Data Protection Officer at dpo@westcoastconnection.com to express your needs and concerns.
When you make a Data Subject Right Request, you will be asked to provide details of the data requested and the reasons why that data needs correction; and proof of who you are. We will acknowledge your request and address your request as soon as possible and no later than thirty days from the date your request is received. You have the right at any time, to raise your issues with a Data Protection Authority.
If WCC is asked to destroy PI, we do so as long as it does not compromise WCC’s legal standing now or in the future. As data is destroyed, we take reasonable care to make sure there is no unauthorized disclosure during the destruction of the data. To do this, we will maintain a record of all such delete requests, including a minimum of PI required.
We regularly review and on occasion update this statement to ensure it remains in line with applicable regulation. We will inform you of such changes by prior notification, usually through the www.westcoastconnection.com website.
